Overview

The Vancouver Musicians’ Association (VMA) partnered with Sparkjoy to transform a fragmented, manual system into a unified digital platform.

Serving a wide network of musicians, promoters, and industry professionals across British Columbia, the VMA needed tools that could reduce administrative overhead, improve member experience, and streamline how gigs are proposed and managed.

We delivered an integrated ecosystem that includes a membership portal, a gig estimation tool, and a redesigned website, all working together to simplify operations and support growth.

Member Management Portal


The Member Management Portal, developed by Pantegral, centralizes membership administration into a single, intuitive platform.

Members can manage their profiles, access documents, and stay informed through built-in communication tools. On the administrative side, the system integrates seamlessly with QuickBooks to automate billing, invoicing, and payment tracking.

Beyond day-to-day operations, the platform provides detailed reporting capabilities, giving the VMA better visibility into member data and activity.

Gig Estimator


The Gig Estimator is a custom proposal-generation tool designed for music promoters booking through the VMA.

Users can build detailed gig scenarios by selecting musicians, adjusting requirements, and requesting specific contractors. The system then generates a structured, ready-to-submit proposal.

For the VMA, this transforms what was previously a manual, back-and-forth process into a streamlined workflow with clearly defined inputs.

To complement these tools, the VMA website was redesigned to better reflect its role within British Columbia’s creative community.

The new experience prioritizes clarity, accessibility, and storytelling. Visual elements are intentionally minimal and purposeful, guiding users without distraction and reinforcing the organization’s identity.
